Managing a range of processes for the UK Operations team

  • General administrative duties specifically in support of the University Relationships Manager
  • Support the running of the Kings Advanced Level Foundation (ALF), in the UK and in Kings Partner Schools (KPS)

The role will be responsible for managing a variety of processes for the UK Operations Team. Their activity will be guided by the University Relationships Manager, and they will be key in supporting efficient administration for 3 main areas:

1. Administration of the Kings Advanced Level Foundation:

  • Communicating with UK Subject Coordinators re annual cycle of course
  • Administering contracts and payments for Subject Coordinators
  • Distributing assessment writing schedules
  • Distributing/collecting assessments
  • Ensuring consistent formatting for assessments
  • Ensuring additional payments are made for assessment writing and marking
  • Setting up of Teams (Microsoft Teams) relating to various groups associated with ALF in UK schools and KPS
  • Updating student lists
  • IAB Panels administrative support
  • Arranging additional training for Medic students
  • Supporting University Relationships Manager with administration of Pearson Assurance annual Audit

2. UK University administration/UCAS support

  • Note taking of UCAS Forum meetings
  • Support of University Liaison Manager when tracking applications and commission payments
  • General administration of UCAS application process as guided by University Liaison Manager
  • Support of University Relationships Manager when liaising with schools re university activity engagement

3. UK Operations administrative support

  • · Collection and presentation of UK School and KPS academic results and progression data – including CAT 4 assessments
  • Support of UK Director of Operations and Director of Admissions (under guidance of the University Relationships Manager) with data for Quarterly Review meetings
  • Set up of Academic Calendar Teams meetings
  • Other general administrative duties required by Operations team

Person specification

The successful candidate will offer a combination of excellent communication skills, the ability to maintain consistent processes and to build rapport with a wide variety of people across the Operations of Kings schools.

The strongest candidates will:

  • Promote a passion for education and strong background in the support of administrative processes
  • Have good experience of working using a variety of software – including excellent knowledge of all Microsoft Outlook applications
  • Be detail and process orientated, thrive on working to deadlines and achieving clearly defined KPIs, able to take the initiative, working effectively both independently and as a team-player
  • Demonstrate good problem-solving skills, emotional and cultural empathy and intelligence, integrity, resilience, flexibility, energy and a good sense of humour
