Role description

The Student Services Manager is a new role for Kings Brighton, designed to bring together into one team, ‘Front of House’ and the administration of the services we offer to students. Student Services acts as a hub where students can access all aspects of college life, as well the first port of call for all visitors.

The Student Services Manager will work closely with all other school departments to ensure a joined-up approach to customer service, a collaborative approach to safeguarding and student welfare, a welcoming and seamless induction for new students, a friendly and helpful service for visitors and callers, as well as helping to move the school toward outstanding provision.

The role will also be the single point of contact for parents and regional sales staff in relation to onboarding communications before and after arrival.

Duties and Responsibilities:

  1. All line management and effective performance management of the Student Services Team
    • Appraisals
    • One-to-ones
    • Holidays and sickness
    • Rotas for high and low season
    • CPD
  2. Oversight of all travel and transfer logistics for Kings Brighton
  3. Ensure the efficiency of the Student Services Team to effectively cover areas such as:
    • Running of the Front Desk, including answering telephone and email enquiries
    • Helping students with general enquiries
    • Providing advice and information regarding the school’s programmes, services and admissions processes to a range of customers, including partners overseas and applicants
    • Assistance in the planning of student inductions and pre arrival communications
    • Oversight of the collection and inputting of student contact details
    • Running and checking of the Admissions Register
    • Collection, checking and inputting of student Visa, Passport and BRP information and timely reporting
    • Ensuring letter requests are dealt with in a timely manner
    • Management of the Police Registration process
    • Oversight of the process of issuing lanyards and student cards
    • Management of the signing in and Out visitors, contractors and u16s
    • Dealing with course enquiries or complaints
    • Ensuring reception area and associated spaces are kept tidy and presentable at all times
  4. Setting of the daily rotas for the team to ensure the department is appropriately staffed at all times (ie considering holidays and sickness)
  5. Work closely with the College Services Manager to ensure that the Student Services Team are working effectively with other departments in the college such as Student Welfare and Accommodation
  6. Work closely with Academic and EFL department heads to ensure that student attendance is checked and followed up on, in line with Kings Attendance Policy
  7. Manage Kings Brighton walk-ins and co-ordinate prompt responses
  8. Work closely with the Head of English and Principal to counsel and upsell academic courses to current Kings EFL students
  9. Maintain up to date knowledge and understanding of current brochure information
  10. Provide consultation to ensure that relevant documents and handouts are kept updated
  11. Manage responses to parental and agent enquiries related to onboarding of students
  12. Work with Admissions and Registry departments and EFL and Academic administrators to ensure timely and effective collection, distribution and storing of key student data
  13. Work closely with key members of staff to deliver an effective and informative induction and registration process for all students
  14. Ensure CPD opportunities and effective performance management is in place for all line reports
  15. Act as coordinator for various school policies ensuring compliance and annual reviews take place

    Person Specification

    The Student Services Manager will need to be a versatile communicator, able to foster and maintain good working relationships with colleagues in the EFL & Academic Departments, Welfare and Admissions and also with external suppliers. This person will be able to create an environment where students feel cared for and safe and where staff are approachable. We are looking for excellent organisational skills, the ability to multi task, to stay calm in a crisis, good leadership, sound judgement and a sense of humour.

    Essential Skills/Experience

  • Line management of other staff in an administrative setting
  • Experience of working to targets, setting targets and monitoring success in these areas
  • Experience of working with international students and/or young adults in a supervisory role
  • Outstanding communication skills, both verbal and written, with sound commercial sense
  • Efficient organisational & admin skills with excellent attention to detail
  • Strong IT skills including competence with Microsoft Office (especially Excel and Outlook) and databases
  • Will be required to use Kings Class & iSAMS databases (training will be provided)
  • Ability to learn and adapt quickly and cope in challenging situations
  • GCSE Maths & English Grade C or above
  • English native-speaker competence/Level of English equivalent to CEF level C2

Applicants must be able to demonstrate:

Professional experience:

  • Previous work experience in a welfare and accommodation role.
  • Experience in using Microsoft Office systems such as Word, Excel and PowerPoint.
  • Experience working within a customer-based role, facing clients and agents.
  • Experience with accommodation or residential roles, including knowledge of local area and local government guidelines.

Personal attributes:

  • Able to work independently or part as a team.
  • Able to work in a fast-paced environment and be able to work under pressure.
  • Able to liaise well with other departments, and good with problem solving.
  • Discretion and good understanding of Data Protection.

Desirable attributes include:

  • Experience with working within a school or college environment
  • Experience with working with foreign languages
  • Experience or knowledge of working within governmental procedures and policies.
  • Experience in using bespoke computer systems and databases, such as Class & iSAMS.
  • Experience with accommodation or residential roles, including knowledge of local area and local government guidelines.
  • Experience with compliance relating to students under 18.
